Privacy Policy
Last updated: 22 July 2026
1. Introduction
Airwave Healthcare is a trading name of Airwave Europe Limited (“we”, “us”, “our”), part of SCCI Group, a UK technology and services group. This policy explains what personal information we collect, why we collect it, and the choices you have — written in plain English rather than legal terms wherever we can manage it.
It applies to anyone who visits our website, contacts us, works with us as a customer or supplier, or who we get in touch with as part of our own business development. You don’t need to have bought anything from us for this policy to apply to you — if we hold or use your personal information in any of these ways, this is the policy that covers it.
This policy is written in line with UK data protection law, including the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR), which govern marketing by email and similar means.
If anything here isn’t clear, or you’d like more detail on any part of it, Section 14 has our contact details.

3. Personal Information We Collect
What we collect depends on how you interact with us. Broadly, it falls into the categories below.
| Who you are | What we typically collect |
|---|---|
| Website visitors | Pages viewed, browser and device type, approximate location from your IP address, how you found our site, and cookie data (see Section 8). |
| Business enquiries | Name, job title, company, business email, business phone number, and details of your enquiry. |
| Existing customers | Contact details for the people we work with at your organisation, account and contract information, and correspondence about the services we provide. |
| Suppliers | Contact details for the people we work with at your organisation, and information needed to manage that relationship. |
| Job applicants | Name, contact details, CV and application information, and anything else you provide as part of recruitment. |
| Business contacts | Name, job title, company, business email, business phone number, and information about your organisation, where we’ve identified you as someone who might be interested in what we do. |
We don’t set out to collect special category information (such as health information) about the people covered by this policy, and we’d ask that you don’t send us this kind of detail unless we’ve specifically asked for it.
4. How We Collect Information
We collect personal information in a number of ways:
- Directly from you — through forms on our website, by email or phone, or in meetings, events and trade shows.
- Through our existing business relationships — for example, if you’re a contact at a customer or supplier organisation.
- From publicly available business sources and professional networking platforms, including LinkedIn.
- From business data providers, including Apollo and Evaboot, which help us identify relevant professional contacts.
- From your own organisation’s website, where publicly available information helps us understand who to contact.
- Through referrals from existing contacts.
- Through cookies and analytics tools when you visit our website (see Section 8).
5. Why We Use Personal Information
We use personal information to:
- Provide our products and services
- Respond to enquiries and requests
- Manage our relationships with customers and suppliers
- Send service-related communications, such as updates about a project or account
- Understand how our website is used, and improve it
- Run our business, including administration, finance and reporting
- Recruit new staff
- Carry out business-to-business marketing (Section 7 explains this in full)
- Keep our systems and information secure
- Meet our legal and regulatory obligations
6. Lawful Bases
Under UK data protection law, we need a valid legal reason — a “lawful basis” — for using personal information. Depending on the situation, we rely on one of the following:
Contract Where using your information is necessary to provide a service you’ve asked for, or to manage a contract with you or your organisation.
Legal obligation Where we need to process information to comply with the law, for example around tax or other regulatory requirements.
Legitimate interests Where processing supports a genuine business need, and we’ve concluded this doesn’t unfairly affect your rights and interests. Our B2B marketing activity is the clearest example of this — Section 7 explains our approach, and the full reasoning is set out in our Legitimate Interests Assessment.
Consent In the more limited situations where we ask for it directly — certain cookies, for instance. Where we rely on consent, you’re free to withdraw it at any time.
7. B2B Marketing and Business Development
Airwave Healthcare carries out business-to-business marketing to let other organisations know about our products and services. This section explains how we go about it.
Our marketing is directed only at professional contacts acting in a business capacity — not at individuals in a personal or consumer capacity. We may obtain business contact information from sources including:
- LinkedIn and LinkedIn Sales Navigator
- Apollo and Evaboot
- Company websites
- Trade shows and events
- Existing business relationships
- Website enquiries
- Referrals
- Contact forms
We only collect professional business contact information that’s relevant to a potential or existing commercial relationship — not personal or home contact details.
Our marketing is targeted and proportionate: we aim to contact people whose role makes them relevant to what we do, rather than sending communications indiscriminately. Marketing emails include a way to unsubscribe, and you can object to direct marketing at any time, without needing to give a reason — we honour unsubscribe requests and objections promptly.
We rely on legitimate interests as our legal basis for this activity, in line with UK GDPR, and our approach to electronic marketing — including how and when we contact people by email — is designed to meet the requirements of PECR. The reasoning behind our approach, including the safeguards we apply, is documented in full in our Legitimate Interests Assessment.
8. Cookies
Our website uses cookies and similar technologies to help it run properly and to understand how it’s used.
We use a small number of cookie types:
- Strictly necessary cookies — needed for the website to function, such as remembering your cookie preferences.
- Analytics and performance cookies — help us understand how visitors use our site, so we can improve it.
- Functionality cookies — remember choices you’ve made, to give you a more personalised experience.
You can control or delete cookies at any time through your browser settings, and where we provide a cookie consent tool on our site, through your preferences there too. Turning cookies off may affect how parts of our website work.
9. Sharing Information
We may share personal information with:
- Professional advisers, such as lawyers, accountants and auditors
- IT and hosting providers who support our systems
- Spotler, our marketing platform provider
- Microsoft, for email, document and cloud services
- Analytics providers, to help us understand how our website is used
- Cloud storage providers
- Regulators and public authorities, where we’re required to
- Other suppliers who support our day-to-day operations
We don’t sell personal information to third parties.
10. International Transfers
Some of the suppliers and platforms we use may process personal information outside the UK. Where that happens, we make sure appropriate safeguards are in place — such as UK adequacy decisions or approved contractual protections — so your information continues to be protected to UK standards.
11. Retention
We keep personal information for as long as it’s needed for the purpose it was collected for, and no longer. Exactly how long varies depending on the type of information and why we hold it.
Where someone has objected to marketing or asked to unsubscribe, we keep a record of that for longer, so that we don’t end up contacting them again by mistake in future. This is there to respect that choice — not to hold on to data unnecessarily.
12. Security
We take appropriate technical and organisational steps to protect personal information, including access controls, secure systems, and making sure our staff understand their data protection responsibilities. No system is completely risk-free, but we work hard to keep information secure and to respond quickly if anything goes wrong.
13. Individual Rights
Depending on the circumstances, you have the right to:
- Access the personal information we hold about you
- Ask us to correct inaccurate information
- Ask us to delete your information
- Ask us to restrict how we use it
- Ask for a copy of your information in a portable format
- Object to how we use your information, including for direct marketing
- Withdraw consent, where we’re relying on it
- Complain to the Information Commissioner’s Office (ICO) if you’re unhappy with how we’ve handled your information
To exercise any of these rights, get in touch using the details in Section 14.
14. Contacting Us

15. Changes to this Policy
We may update this policy from time to time — for example, to reflect a change in our practices or in the law. We’ll post the updated version on our website with a new “last updated” date, so it’s worth checking back occasionally.
